ATS-Friendly Resume Formatting: A Practical Checklist

By CandidateLift · Updated

An ATS-friendly resume should make your information easy to read and extract. Follow the employer’s file instructions, use clear section headings, and check that the exported document contains selectable text in the right reading order.

Follow the application’s file instructions

Use the file format the employer requests. A PDF can preserve appearance, while a DOCX may be requested by a particular application. No file type is universally best for every screening system.

CandidateLift accepts PDF, DOCX, TXT, and Markdown for text analysis. Its paid document editing applies supported sentence replacements to the original PDF; it does not rebuild a DOCX or impose a new resume template.

Check the document’s text

Try selecting and copying the resume text into a plain text editor. Check the order of headings, employers, dates, and bullets. This is a useful extraction check; it does not reproduce every employer’s parser.

A scanned document may show readable words on screen while containing only an image. CandidateLift reports unreadable or scanned PDFs rather than claiming that it extracted text successfully. If necessary, use your original document to export a text-based file.

Keep structure easy to follow

Use recognizable headings such as Experience, Education, Skills, and Certifications. Group an employer, title, and employment dates together so a person can understand the history.

Complex layouts, text boxes, and decorative elements can make extraction harder to assess. If you use them, test the exported text and preview the document on another screen. A layout change is useful only if it improves readability and preserves your content.

Separate formatting from job fit

A readable document can still be a weak match for a role. Conversely, a strong background may be described too vaguely. Check both the file and the evidence for important requirements.

CandidateLift’s match score measures text alignment with your supplied posting. It is not a formatting certification or a guarantee that an employer’s ATS will accept the document.

  • Verify that exported text can be selected and copied.
  • Check section order, names, dates, and special characters.
  • Keep important information in readable text.
  • Inspect every page after applying PDF replacements.

An example to review

Before

A scanned page with an Experience heading and several image-only bullets.

After

A text-based export from the original resume document, with the same accurate work history.

This is a file-preparation example. Re-exporting text helps make extraction possible; it does not improve qualifications or promise a particular ATS outcome.

Illustrative example; review every claim against your own experience.
